Volunteer Management Team has conducted the monthly volunteer meeting in the VIN premises on 13th May, 2016. Accoring to the Management theory of Denise Sevick Bortee,Meetings are another effective way to communicate to the volunteers. This channel of communications provides two important elements of effective communication. First, it allows for face to face communications, which is the most powerful form of communication. Interpersonal communication has the most long-term consequences for communication audiences. Second, meetings allow for two way dialogue. In order for management to be effective in its communication to project staff and volunteers, it must understand the concerns and needs of the volunteers. Engaging in two-way dialogue allows management to hear and respond to the concerns raised by volunteers. Therefore, the volunteer management team of Volunteer Initiative Nepal always try to make the effective communication to the volunteers to support and make their volunteering worthwhile. This meeting is one of the techniques to .interact with the volunteers to get more feedback from them and support the volunteering project.
There were twenty five participants on the meeting including international and national volunteers. Only few numbers of volunteers could not attend the meeting due to some problems. However, the participants of the international and national volunteers were highly satisfied. The meeting was begun from the project catch up of each volunteer with their project with the introduction. The volunteers had explained their daily activities and sharing their experiences among all the volunteers. All the participants were very fortunate and convenient on encountering the information of different projects which are operating by the VIN.
In addition to that, some challenges were also highlighted in the meeting. They had advised the team to improve some challenges and make the work more effective and increase the existing result. The participants discussed, interacted and developed the solutions that will very helpful for the project. To sum up, the volunteer manager also advised and suggested the volunteers with solution and recommendations.
On the whole, the meeting was very successful; all the participants were pleased, contended and satisfied. The main objective of this meeting is to know about the volunteers’ feedback and provide the support facilities to our existing volunteers on their volunteering project. This is one of the parts of the ongoing screening that includes providing supervision and conducting performance evaluations of the volunteers.
